Special Grant for Short-term Placements

Participation Conditions

• Studying in a full-time or part-time accredited bachelor’s, master’s or doctoral programme at MU, and in the time of submitting the application having finished at least the first semester of bachelor’s studies at MU.
• Compatibility of the study programmes at MU and at the chosen foreign university, which means that the faculty confirms that the course taken will be recognised as part of the study plan at MU (Learning Agreement, Training Agreement).
• Studies at the MU home faculty may not be interrupted or cancelled during the time of receiving the grant and in the time of payment of the grant.
• The minimum number of credits gained for this placement is 1 ECTS, but the number of credits gained should correspond to the length of the placement and its content.
• The programme requires of MU students that after completion of the placement they submit an application for recognition of courses/placements from a foreign placement. You can find further information here. Not submitting the required documents for recognition of courses will be seen as not fulfilling the conditions for the award of a grant and the grant has to be returned.
• A grant is not provided for studies in the country of origin/permanent residence of the student.
• A student can only submit one application within one call. 
• The application can also be submitted for mobilities already finished this calendar year which meet the other conditions of the programme.

Financial Conditions

• The grant is only allocated to physical mobility in a foreign country, not to online mobility.
• The basic rate is 10.000 CZK to all countries of the world.
• The specific amount of the grant is set according to the time spent at the foreign university and the possibilities of the project budget. The amount of the grant is calculated as follows:
  • 5 to 7 days: 1/2 the basic rate of financial support
  • 8 to 20 days: all the basic rate of financial support
  • 21 to 30 days: 1.5 times the basic rate of financial support
• Students going to countries outside Europe (incl. Russia), will be assigned supplementary one-off support of 8.000 CZK for travel expenses.
• The grant is not intended to cover all the costs linked to studies abroad, only increased costs compared to studying in Brno – it assumes the student also contributing.
• It does not exclude the gaining of a grant from the faculty grant fund, the region, foundations, etc. to make up part of the costs. When assessing the amount of the grant this support from other sources is taken into account and can lead to a reduction in the grant.
• The student is obliged to inform the CZS of the gaining of further support. If the student gains another grant (for example at the faculty) or has applied for it, they should state the amount in the application, attach a summary of the anticipated costs and justify the request for another grant.
• We warn departing students who are at the same time employed, that for the stated foreign study it is not possible at the same time to draw on travel expenses from the employer.
• Recognised grants will be transferred to the bank account in CZK the student has entered in the IS MU. You will be sent the decision on the grant by e-mail.
• A grant will not be allocated for extension /co-financing of a placement which began as part of another programme (for example Erasmus+, Erasmus+ ICM, CEEPUS, Freemover, intergovernmental agreements, bilateral agreements, etc.).
• A grant will not be allocated for placements which were/are/will be supported from a CZS Special Grant for a Short-term Placement.
• A grant will not be allocated for a language course. In justified cases, a scholarship for students in philological/language disciplines may be approved.
• A grant placement must take place (and end) in the calendar year 2024.
• A grant will not be allocated for placements which are longer than 30 days (i.e. 31 and more), not even for part of it.
• Also of relevance are applications for placements which have already finished. In this case there must be a complete list of these in the application Placement Evidence in the IS including all documents. The results of the placements already done must be documented and recognised in the IS MU.
• Not adhering to the programme conditions will result in the student losing the right to the grant (even already paid grants) and the student has an obligation to return the grant in full.
• The final amount of the grant can differ on the basis of the accessibility of the financial sources for the project, which means that not all students applying for a grant must be given a grant, or a grant in full.

Application

Those who are interested must first contact the preferred foreign institution/given workplace (central foreign department of the school and/or faculty/department) and agree on the conditions of acceptance. Consider all the essentials of study and life abroad, including the potential duty to pay tuition fees.

The application form is submitted electronically (choose the item Freemover – Special grant short-term mobilities 5 - 30 days in Choose programme). The following documents are obligatory attachments to the application form:

• Letter of acceptance (scan) or any other acceptance document (for example, e-mail).
• Learning Agreement (signed in ISOIS electronically or a signed scanned version) – for a summer school or a study placement. The manual for LA completion is in the Documents section.
• Learning Agreement for Traineeship/Training Agreement – For a practical placement you need a Learning Agreement for Traineeship (signed in IOSIS electronically) or a Training Agreement (a signed scanned version, see the form in the section Documents). Learning Agreement must be signed by the host institution and all the parties at MU (both the authorised person at the department/institute/faculty and the foreign department of the faculty). The Training Agreement must be signed at MU by the authorised person at the department/institute/faculty. The manual for LA completion is in the Documents section.
• Academic justification of mobility 
  • attach as a pdf document to the online application, appendix No. 1, max. 300 words
  • state all the relevant (academic) reasons why you are applying for the grant, including information on already granted grants/applications for grants supporting the placement for which the student is submitting this application 

Criteria for the selection of candidates who will receive a special grant:

• the number of applications for Special Grant for Short-term Placements or other programmes in the given year, previous placements abroad (the lowest priority is given to those with more applications in the same year or/and with previous support)
• formal correctness of the submitted application
• content of the foreign placement – academic justification of the mobility (in the section reason description)
• consideration of other financial support granted with regard to the overall costs of the placement
• the student’s marks
• 14 days placements or longer placements are an advantage
• placement at a top university according to the QS World University Rankings (up to TOP 300)

The student will be informed of the results by e-mail.

Before departure

The student must:

• Document the short-term foreign placement in the IS, in the section “Internships and stays”. In the column “type of placement” choose “foreign study placement”, in the “programme” column choose “Freemover”.
• Arrange the Learning Agreement, even in the case of a research placement; in the case of a traineeship submit a Training Agreement. 
  • To create LA in ISOIS please choose “for other programmes” and then “administered by faculty”. You can find the information for the recognition of foreign studies on our page in the section Recognition of Foreign Placements, where you can also find instructions on the completion of the Learning Agreement.
  • Training Agreement is in the section Documents.
  • If you are going to a foreign conference within the programme, use the Learning Agreement form. After the conference, it is necessary to prove your physical participation (confirmation of participation, confirmation of the presentation, etc.).
• Organise health insurance for the whole period of the foreign placement including the journey there and back. In the EU countries, etc. we recommend additional insurance (including repatriation insurance – for the case of a transfer after an unexpected operation, etc.).
• Apply for a grant – submission of electronic application in the IS (instructions how to apply for a grant will be sent to the student by e-mail). We mostly send the grant as a one-off payment to the account.

While abroad

• If changes to the LA occur, arrange an updated LA and send it to the CZS around a week after the start of the placement, or immediately in the case of a shorter placement.

Before the end of the placement at the foreign school/workplace:

• Have signed the Confirmation of Studies Abroad (which you can find in the section Documents) or the Confirmation of Placement Period (which you can find in the section Documents)
• Agree on the handing over of the Transcript of Records, or alternatively the certificate. Some schools hand them over to students in person, while others send them by post.
• Research is considered to be studies, and it is necessary to bring the Transcript of Records, at least in the form of a confirmation of activity (or alternatively that the placement took place in accordance with the Learning Agreement). We request this confirmation in the form of a Research Plan confirmed by your supervisor at MU and abroad.

After Return

• Recognition is the full responsibility of individual faculties/departments/institutes. After completing the placement, the student must upload the final documents to the IS and submit an electronic application for recognition of courses/credits from the placement abroad. • The record of the study abroad will be reflected in a supplement to the diploma (in case the request for recognition is successful).
